At Niseko Kids Club Babysitting Service, the health and well-being of the children entrusted to our care is of paramount importance. We understand the risks associated with contagious illnesses and are committed to maintaining a safe environment for all children. To ensure the health and safety of everyone involved, we have implemented the following policy:

1. Pre-Screening of Children: Prior to booking a babysitting appointment, parents are required to inform Niseko Kids Club Babysitting Service if their child is experiencing any symptoms of illness, including fever, cough, runny nose, sore throat, rash, diarrhea, vomiting, or any other symptoms indicative of a contagious illness.
2. Exclusion Criteria: Children who are currently ill with a contagious illness will not be eligible for babysitting services until they have fully recovered and are no longer contagious. This includes children with fevers above 100.4°F (38°C), vomiting, diarrhea, or any other symptoms that may pose a risk of spreading illness to the babysitter or other children under our care.
3. Illness During Babysitting Session: If a child displays symptoms of illness during a babysitting session, the babysitter will immediately notify the parents and follow their instructions regarding care and further action. If necessary, the babysitter may terminate the session early to prevent the potential spread of illness to other children or to themselves.
4. Communication with Parents: Open communication between parents and babysitters is crucial. Parents will be promptly notified if their child exhibits symptoms of illness during a babysitting session, and they are expected to arrange for immediate pickup of their child.

By adhering to this Contagious Illness Policy, we aim to create a safe and healthy environment for all children entrusted to our care. We appreciate your cooperation in helping us maintain these standards of care.

At Niseko Kids Club, we are dedicated to ensuring the safety and well-being of the children under our care while respecting the privacy rights of our staff. Our surveillance camera policy establishes clear guidelines for the use of cameras during babysitting services to uphold these principles.

1. Documentation of Approval: Prior to the installation of surveillance cameras during babysitting services, approval must be obtained from Niseko Kids Club. Installation must also comply with all relevant laws and regulations.
2. Privacy Considerations: Cameras should not be placed in areas where a person has a reasonable expectation of privacy, such as bathrooms or changing rooms.
3. Informed Consent: All individuals who may be filmed must be informed of the presence of surveillance cameras and the purpose of the filming.
4. Confidentiality: The camera feed should be kept private and not shared with anyone who is not involved in the care of the children.
5. Data Handling: All footage captured by surveillance cameras must be stored securely and deleted within a reasonable timeframe, not exceeding 30 days.
6. Babysitter’s Choice: Babysitters who are uncomfortable with being filmed should be given the option to decline assignments where surveillance cameras are present.

Niseko Kids Club prioritizes the safety and well-being of the children in our care while ensuring that our practices adhere to legal and ethical standards regarding privacy rights. This policy outlines our commitment to maintaining a safe environment while respecting the privacy of all parties involved.

For the well being of your child, as well as our babysitters, before the first booking, we require you to complete an enrollment packet, which includes the following:

• Registration form
• Policies and Procedures form
• Medical waiver
• Outside play waiver

We prioritize the safety and well-being of all children under our care. To ensure adequate supervision and attention for each child, we adhere to the following babysitting ratio policy:

1. Standard Ratio: The standard babysitter-to-child ratio is 1 babysitter for every 4 children. This ratio allows our babysitters to provide attentive care and supervision to all children in their care while maintaining a safe and nurturing environment.
2. Special Consideration for Younger Children: For children aged 2 years and under, we implement a stricter ratio of 1 babysitter for every 2 children. Younger children require more hands-on care and supervision, and this ratio ensures that their needs are met effectively.
3. Safety First: Our babysitting ratios are designed to prioritize safety and quality care for every child. We adhere strictly to these ratios to maintain a high standard of service and ensure the well-being of all children.

Niseko Kids Club babysitters will arrive 10 minutes prior to the booking time, at no extra cost to you, in order to go over any special requests you may have for your child(ren). We ask that you respect the babysitters needs by abiding by the designated time of your return. This is due to the fact that some of our babysitters are chosen for your specified times according to their availability. Many times caregivers have a booking However, we understand that situations may arise and we ask that you inform the babysitter if you will not be able to return at the agreed upon time.

All extensions are subject to the caregivers availability, and not guaranteed unless full payment is made at least 48 hours in advance. In the event that you extend your appointment on the day, hours exceeding your originally reserved time will be charged in 30-minute increments. An online invoice for the additional hours will be sent by email upon the completion of your babysitter’s shift to be paid promptly upon receipt

Bookings within 5 kilometers radius of Hirafu Seicomart 〒044-0081 北海道虻田郡倶知安町字山田190  (including most lodging around Hirafu, Annupuri and Hanazono areas) and with a start and finish time between the hours of 07:00-22:00 transportation cost is free of charge. Transportation cost for any bookings outside of the above mentioned locations and times to be paid at the time of booking. Cost will vary depending on location, time and mode of transportation.

At Niseko Kids Club Babysitting Service, the safety and well-being of the children under our care are our top priorities. We understand that circumstances may arise where parents are unavoidably delayed in returning to collect their children. However, leaving children unattended in a room without supervision is not an option.

Therefore, our policy regarding situations where parents are unable to return by the agreed-upon time is as follows:

1. Communication with Parents: Prior to the start of the babysitting session, it is essential for our babysitters to clarify with the parents a reasonable timeframe for their return. If there is a possibility of the parents being delayed, alternative arrangements should be discussed and agreed upon in advance.
2. Contact Attempts: If the agreed-upon pick-up time passes and the parents have not arrived, our babysitters will attempt to contact the parents using all available contact information provided to us. This may include phone calls, text messages, and emails.
3. Waiting Period: Our babysitters will wait for a reasonable period of time beyond the agreed-upon pick-up time, taking into consideration factors such as the child’s comfort, safety, and well-being. However, leaving children unattended in a room is not an option.
4. Emergency Contacts: If the parents cannot be reached and the delay extends beyond a reasonable timeframe, our babysitters will contact the emergency contacts listed by the parents. These contacts will be informed of the situation and asked to assist in arranging for the safe pickup of the children.
5. Escalation of Concerns: If all attempts to reach the parents and emergency contacts are unsuccessful and the delay continues, our babysitters will take further steps to ensure the safety and well-being of the children. This may include contacting local authorities or seeking assistance from nearby trusted individuals or establishments.
6. Documentation: Throughout the process, our babysitters will maintain thorough documentation of all communication attempts, actions taken, and any relevant details pertaining to the situation.

It is our firm belief that the safety and security of the children entrusted to our care are non-negotiable. We appreciate the understanding and cooperation of parents in adhering to these policies to ensure the best possible care for their children.

We are more than happy to service last minute bookings based on availability. However, please note that during busy times we do book out. For best results in planning for your family’s needs, and meeting your requests, booking at a minimum of 14 days in advance and as early as 3 months in advance is recommended.

Our open door policy invites you to check-in any time and also allows Niseko Kids Club managers to stop by during a booking in order to ensure that all requirements are being met to keep your child(ren) safe and happy. No other visitors are allowed inside the accommodation while Niseko Kids Club is in attendance, unless you notify the nanny. So other family members or hotel maintenance staff are coming over, be sure to notify your Nanny ahead of time.

Our caregivers will only feed your child(ren) foods that have been pre-approved by you and will not bring in or order any foods that have not been first discussed with you. Our caregivers are happy to prepare simple meals with full instructions provided. If you will expect the caregiver to heat up or cook a simple meal, please do let us know in advance and go over the instructions thoroughly for the simple meal.

If you decide to cancel a booking, we require at least a 49-hour notice.  Cancellations within 48 hours will be charged for 100% of the booking fee.  Cancellation included changes that reduce the overall value of the booking and no shows.

No child should be unattended at any time. Unattended means the caregiver is not in the same room or eyesight of the child.

At Niseko Kids Club are committed to a nonviolent policy. Our caregivers will never discipline by using methods which are severe, humiliating, or frightening and will never withhold food, toilet privileges, rest, or any form of physical punishment.

We strongly believe in positive reinforcement and logical discussion to achieve good behavior of children. We communicate to children the importance of respect for themselves, others, and property. Should a situation arise in which a babysitter is not able to control your child(ren) by these methods, only then will you be contacted. If the situation requires your return home, you will be responsible for the full booking fee.

In the event of a medical emergency, our babysitters will call 119 before calling you. Should there be any other type of emergency, we will first consider the safety of your child(ren) before notifying yo

Holidays are difficult to staff for and due to this fact, we will charge a 20% premium for the following:

• 24 December to 1 January

We cannot allow any of our babysitters to accept offers to work in any capacity except through Niseko Kids Club. Our babysitters are aware of this clause and have signed contracts agreeing not to accept any offers that have not first come through Niseko Kids Club at the risk of losing their positions on our referral list and possible legal actions against both you and themselves. We must ask that you not ask babysitters for any personal information directly, but go through Niseko Kids Club instead.
