General Childcare Terms

  • Payment for your childcare service constitutes acceptance of our terms and conditions.
  • Niseko Kids Club will take all reasonable steps to ensure the safety of children, but in the event of an accident, Niseko Kids Club will not be liable for accidents that may occur before, during, or after the accident, unless the accident is the result of the Niseko Kids Club’s deliberate or gross negligence.
  • Childcare service may be refused in cases in which the child has a fever, virus, infectious disease, or sickness with the possibility of spreading.
  • Parents or guardians of any child booked into childcare must complete a registration form before usage.
  • Niseko Kids Club must be informed at the time of reservation if your child(ren) has any allergies or medical conditions.
  • In the event of an accident or illness that may require medical care, Niseko Kids Club will contact the parents immediately and ask to pick up the child(ren). If we cannot get in contact with the parent, however, deem that medical care is required, Niseko Kids Club will obtain emergency services on behalf of the parents.
  • Parents or guardians must be contactable by phone or email while the child(ren) is in the care of Niseko Kids Club.
  • Parents or guardians must immediately return to the daycare to attend to their child(ren) if they are requested to do so by Niseko Kids Club staff.
  • Your child(ren) may not be able to play outside due to weather conditions and staff/child ratios.
  • Niseko Kids Club strongly recommends guests have comprehensive travel insurance to cover unexpected costs incurred by travel delay, injury or illness.

Booking Terms

  • Bookings can be made by telephone, email, online booking system, in-person at the child care centre or through one of our agents.
  • Bookings that are made using our online system must be made at least 48 hours in advance.
  • Booking requests are confirmed once full payment has been made.

Payment Terms

  • Full Payment is required within 7 days of your reservations.
  • Reservations made within 7 days of commencement of the service full payment is required at the time of booking.
  • Niseko Kids Club reserves the right to cancel any service which has not been paid by the due dates.

Cancellation, Amendment & Refund Terms

  • Cancellations made up to 14 days before commencement of the service will receive a full refund.
  • Cancellations made between 14 days and 72 hours before the commencement of the service will incur a 20% cancellation fee.
  • Cancellations made within 72 hours of the commencement of the service will incur a 100% cancellation fee.
  • Niseko Kids Club reserves the right to cancel the Booking if: (a)there is an event of Force Majeure; (b)in the reasonable opinion of Niseko Kids Club it is deemed that the Booking, or any persons associated with the Booking, might damage the reputation of Niseko Kids Club; or (c)any payment have not been received by Niseko Kids Club from you by the due date.
  • Cancellations include changes that reduce the overall value of the booking and no shows (including but not limited to the reduction of the number of children, hours, days and change of location).
  • If a child is ill without a medical certificate, please note that a refund will not be provided. However, based on availability, the booking can be moved to another day that is available once the child has fully recovered.
  • In the event of illness with a physician’s note, a 100% refund will be honoured under the following conditions:
    • Niseko Kids Club must be advised before the start of your service booking time of the illness or injury.
    • A valid medical certificate with the date the guest was incapacitated, and how long the recovery time will take from a local hospital written by a local practitioner must be provided.
    • Refunds will only be offered to guests whose name appears on the medical certificate.
    • A medical certificate must be provided within 24 hours of the service date.

Daycare Terms

  • Niseko Kids Club recommends that your child(ren) be immunised before using daycare facilities.
  • Child(ren) must be dropped off and picked up within the scheduled times.
  • A late pick-up fee will be charged for each instance of pick up any time after 13:05 for morning usage or 16:35 for a full day and afternoon usage. The fee is ¥1500 and charged in increments of 15 minutes. It is expected that the late fee will be paid on the same day as the late pickup incident. If the parent is unable to pay the fee at the time of the incident the late fee must be paid no later than the next day.
  • Niseko Kids Club will try to accommodate certain dietary requirements which are pre-arranged. However, children with food allergens may be asked to provide their lunch and snacks.
  • Niseko Kids Club recommends that you write your child’s name on any of the child’s goods entrusted to our care during the time of usage. Niseko Kids Club cannot take responsibility for any lost or damaged items during the time of usage.
  • The “Multi-day Packages” 5-day, 30-day packages are non-transferable and non-refundable.

Babysitting Terms

  • All babysitting bookings must be made directly between you and Niseko Kids Club and/or its agents.
  • Niseko Kids Club babysitters have a contract with Niseko Kids Club prohibiting the provision of care on the part of past or present clients of Niseko Kids Club without written consent. No babysitting bookings are to be made directly with the babysitter.
  • Babysitter usage time must be agreed upon with Niseko Kids Club before usage and parents/guardians must be back at the accommodation within the agreed scheduled times.
  • A late fee will be charged for each instance coming back later than the scheduled time. Late fees or extensions are charged in increments of 30 minutes.
  • Niseko Kids Club babysitters do not handle cash.
  • If the babysitter usage has been extended then the appropriate charges will be charged the next day. The client is required to fill out a Credit Card Authorization form to approve the charges.
  • Niseko Kids Club babysitters are prohibited from receiving transportation from a client except for paid public transportation or taxi.
  • For the safety of your child(ren) and babysitters, no visitors except for a pre-arranged list of persons are allowed in the room or to care for the children while Niseko Kids Club babysitters are present.
  • Niseko Kids Club babysitters are not certified as food handlers, however, they are more than happy to prepare bottles and heat simple meals with ingredients and instructions provided.
  • Babysitter Transportation Cost – Bookings within 5 kilometres radius of Hirafu Seicomart (including most lodging around Hirafu, Annupuri and Hanazono areas) and with a start and finish time between the hours of 07:00-22:00 transportation cost is free of charge. Transportation costs for any bookings outside of the above-mentioned locations and times are to be paid at the time of booking. The cost will vary depending on location, time and mode of transportation.
  • Children who are currently ill with a contagious illness will not be eligible for babysitting services until they have fully recovered and are no longer contagious. This includes children with fevers above 100.4°F (38°C), vomiting, diarrhea, or any other symptoms that may pose a risk of spreading illness to the babysitter or other children under our care.

Rental Terms

  • All Deliveries and Pick-ups are by appointment only.
  • When you make a reservation, we will arrange a suitable time to deliver and pick up your baby gear to/from your rental property.
  • Full-size cribs must be set up and taken down by the delivery person only. Full-size cribs cannot be transported in your vehicle if you decide to change locations. You must contact Niseko Kids Club to arrange a transfer. Additional fees may apply.
  • Delivery and pick-up times may be given a 2-3 hour window depending on location and other factors. We do our best to arrive at the time requested.
  • If the delivery or pick up needs to be rescheduled because of negligence or unforeseen circumstances, there will be an additional delivery fee of ¥1500.
  • If you request a porch delivery and/or pick-up, keep in mind that the customer is responsible for any items lost or stolen from the porch. Please make sure items are left in a safe, hidden area.
  • For hotel delivery, customers must check with the hotel on where equipment should be delivered and left for pick up. Please label all equipment before leaving it with the hotel after your stay to avoid being responsible for lost or stolen items.
  • Do not leave the equipment in your room when you check out.

  • Inspection of Items: Upon delivery, the rental items must be examined, and find all items are in good working condition.
    Niseko Kids Club must be notified within 12 hours of the first day of rental if the items are not to your satisfaction. Upon notification, we will arrange for a replacement item to be delivered or a refund.
  • Condition of Returned Equipment: Please return the equipment in the same condition (except for normal wear and tear) in which it was delivered to you.
  • Damaged, Lost, or Stolen Equipment: You are responsible for damage, loss, or theft of rental equipment and agree to pay for any replacements needed.
  • Items must be returned with all accessories and parts intact and in proper working order. Any excess damage to rental equipment aside from normal wear will be repaired or replaced (depending on the condition) at the expense of the renter. Any additional fees resulting from loss, theft, repair, or replacement will be invoiced the following day.
  • In the event of a lost item at a hotel, rental property, or any other type of delivery and pick-up destination, we will give you 72 hours to try and retrieve the lost product. It is not the responsibility of Niseko Kids Club to try and retrieve lost equipment. After 72 hours if the product is not retrieved an invoice will be sent for the cost of the item. Any extra trips to retrieve equipment again may result in an additional delivery fee.
  • You must agree to follow all manufacturer directions, warnings, and guidelines for the item(s) rented. This includes all safety recommendations provided by the Manufacturer. You also agrees not to exceed weight, age or height limits recommended by the manufacturer.
  • You understand upon acceptance of the rented item(s) that it becomes your sole responsibility to keep the child safe.
  • Niseko Kids Club will provide any applicable manufacturer instruction manual(s).
  • The rented items may come with special instructions. It is your responsibility to make sure to read and follow these instructions.
  • You are liable for any misuse of equipment. In the event of an incident, you agree to accept full responsibility, and shall not hold Niseko Kids Club liable for any claims or actions.

Confirmation and Decision of bookings Bookings made by customers will be confirmed when Niseko Kids Club sends an email confirmation to the customer.
The invalidity of bookings and Cancellation of bookings All bookings will be invalid if any false information is given in the bookings. Your booking will be cancelled if there is no payment before the date of service.
